How to ask for UBFC Ethical Committee for Research expertise

Researchers who wish to do so can send the committee a question about a research project ahead of its writing to ask for the committee’s recommendations. Thus, the activity of the UBFC ECR is not restricted to giving recommendations about pre-defined protocols: its advice can also be sought by a project holder well ahead of designing a protocol.

Please note that UBFC ECR no longer accepts projects that have already begun.

On the researchers’ request, the UBFC ECR examines all the research projects involving human beings while not falling under the provisions of decree n°2012-300 of 5th March 2012 (called Jardé decree) modified by ruling n° 2016-800 of 16th June 2016, defining the legal provisions relative to research involving human beings (called RIHB research, or “recherches impliquant la personne humaine” (RIPH) research). These provisions must be submitted to a Committee for the Protection of Human Beings (CPHB) (“Comité de Protection des Personnes”, CPP).

The UBFC ECR examines the following points before delivering recommendations about projects:

  • The potential human and environmental impacts of the research project;
  • The information given to participants, and the potential collection of their oral or written agreement;
  • The collection and treatment of personal data, i.e., all the data that can lead to the identification of participants, directly by using their names, or indirectly through an ID or any other cross-referencing of data likely to lead to their identification.

The UBC ECR requires that all files be supplemented with documents attesting that these different points are taken into account, but does not have any a posteriori control mission once the research has been implemented.

Referring a research protocol to the ECR in 4 steps

1. Taking into account the dates of the ECR meetings

Agenda of the ECR meetings in 2024:

  • Tuesday 9th January 2024
  • Tuesday 6 February 2024
  • Tuesday 5 march 2024
  • Tuesday 9 april 2024
  • Tuesday 7 may 2024
  • Tuesday 4 June 2024
  • Tuesday 9th July 2024

It is strongly recommended to send the submission form and its annexes at least one month before the date of the next Committee meeting.

2. Download the documents to be filled out

Submission form: PDFWORD

Declaration of conflict of interest (if necessary): PDF / WORD

3. Fill in the form(s) according to the requested fields (15 pages max)

The submission form and all its documents must be submitted as a single file.
The UBC ECR requires that all files be supplemented with documents attesting that these different points are taken into account, but does not have any a posteriori control mission once the research has been implemented.

4. Send the completed file to the address: ethique@ubfc.fr

The UBFC ECR only gives an assessment on a formal request submitted with all the relevant documents.
However, it can, if required, assist researchers in carrying out their projects.

5. Conditions for submitting a project

  • Projects submitted must be written in French

The working language of the UBFC ERC is French. All procedures and correspondence are in French only.

N.B. The use of English in the submission of a project is only authorised if the applicant is a teacher-researcher of foreign nationality.

  • The scientific leader of the project must meet 3 conditions

If you wish to submit a project, please ensure that the scientific leader of the project, in whose name the project is submitted, meets the following conditions:

    • holds a doctorate
    • is a member of a UBFC member institution or a UBFC partner institution (list of partner institutions available in the UBFC CER internal regulations)
    • is involved in the research submitted
